Encompass Marine serves as a UK marketing representative for international ship repair firms and related services, managing inquiries from clients based in the UK and Switzerland.
As a Sales Support Specialist, you will be integral in assisting the sales team and ensuring operational efficiency.
Your responsibilities will include:
- Overseeing the smooth operation of the office for a small, dedicated team.
- Performing reception duties such as answering, screening, and directing phone calls with a professional and courteous demeanor.
- Greeting visitors, taking messages, preparing refreshments, and maintaining a professional office environment.
Additionally, you will:
- Manage electronic systems, including reporting and addressing IT inquiries, filing emails, and updating electronic calendars and contacts.
- Order, receive, and maintain office supplies and marketing materials.
- Organize exhibitions as determined by the sales team.
- Collect and compile data from various sources, utilizing standard procedures, spreadsheets, and databases to interpret vessel docking and survey schedules.
- Generate monthly reports for sales inquiries, customer lists, and upcoming surveys and dockings for the sales team.
- Coordinate travel arrangements as necessary.
Previous experience in a similar capacity, preferably within a sales or customer service context, is essential. Proficiency in MS Office, particularly Word and Excel, as well as experience with Super Office CRM, is required.
