Accounting Manager

The Accounting Manager position plays a crucial role in the financial operations of Bryn Mawr College, reporting directly to the Chief Financial Officer (CFO). This key position is responsible for overseeing all financial activities, ensuring the accuracy and efficiency of financial processes, and providing strategic financial guidance to the organization.
Key Responsibilities:- Financial Operations: The Accounting Manager will be responsible for recording and reconciling all daily sales activity, including sales reported by the Galaxy POS system. They will work closely with the Director of Visitor Experience to ensure that all ticket types and promotions are set up correctly to track and record sales accurately.
- Cash and Credit Card Management: The Accounting Manager will monitor and update policies and procedures for daily handling and reporting of cash and credit card receipts. They will ensure that systems are maintained to segregate and account for all cash received, and audit the daily processes on a regular basis to ensure compliance with approved procedures.
- Financial Reporting: The Accounting Manager will monitor all credit card activity, review monthly fee reporting, and record in the General Ledger. They will also set up scholarships received via donations or grants in Galaxy, monitor and report usage of scholarships on a monthly basis, and calculate, record, and pay quarterly sales tax.
- Payroll and Benefits: The Accounting Manager will oversee the preparation of, and serve as backup for, the bi-weekly payroll by the Staff Accountant. They will validate payroll accuracy, responsible for payroll-related functions, including preparation of bi-weekly and end-of-month calculations and journals, setup of new payroll processes when needed, monitoring of time and attendance, and ensuring compliance with payroll policies.
- Accounts Payable and Reconciliation: The Accounting Manager will oversee and serve as backup for the Accounts Payable function, including establishment and maintenance of procedures for payments of invoices to vendors and of reimbursable expenses to employees. They will validate and process monthly credit card payments, verify that policies regarding internal authorization of payments are followed, and monitor Museum contracts to ensure that payments are made in accordance with contracted terms.
- Financial Analysis and Planning: The Accounting Manager will assist the CFO with monitoring of expenses for exhibits, grant reporting, special events, and other projects. They will participate in the preparation for the annual audit, assist the CFO with maintenance of the General Ledger structure and General Ledger reporting, and assist the CFO with monitoring of all banking activity, verifying transactions and maintaining balances to ensure adequate reserves to cover payroll and AP activity, and to assist with future cash flow projections.
- Other Duties: The Accounting Manager will provide support for budget and forecasting activities and perform other duties as assigned by the CFO.
Requirements:
- Bachelor's degree in Accounting is required.
- Supervisory experience is required.
- Strong interpersonal skills and effective written and verbal communication skills are essential.
- 5 years' experience in non-profit accounting, including experience with daily sales via POS system and payroll, preferably in a museum setting.
- Proficient in Microsoft Excel and payroll and accounting software, preferably ADP and Financial Edge.
- Ability to work independently and virtually.
