Financial Planning Administrator

We are currently recruiting for a Financial Planning practice based in Bookham, Surrey who are looking to recruit a Part-Time IFA Administrator to join their team. The successful candidate will work 28 hours a week, spread across 3 days.
Key Responsibilities:- Liaise with clients to obtain personal information, NI numbers, addresses, and policy details, ensuring accurate records are maintained.
- Answer phone calls and allocate follow-up tasks, ensuring timely responses to client inquiries.
- Book meetings and appointments, managing diaries and schedules through activity management and Outlook.
- Send pre-meeting information, letters, maps, and welcome packs to clients, providing a warm welcome.
- Send follow-up letters and request ongoing information from clients, maintaining open communication.
- Deal with providers to obtain quotations, illustrations, transfer values, plan encashment, and surrenders, ensuring seamless transactions.
- Complete compliance requirements and Anti-Money Laundering checks for all clients, upholding regulatory standards.
- Produce weekly cash reports via Transact, providing financial insights.
- Update CRM with new client information and update existing client details, maintaining accurate records.
- Submit new business online, obtaining quotes via The Exchange/Web Assure, streamlining the process.
- Liaise with accountants and solicitors for mutual clients, fostering strong relationships.
- Manage Letters of Authority from start to collation of information, ensuring efficient processing.
- Deal with providers to instruct sales (with guidance from the planner) and transfer cash into and out of plans, facilitating smooth transactions.
- Pension Transfer establishment and dealing with external pension providers, ensuring compliance and accuracy.
