We are seeking a dedicated Healthcare Administrative Coordinator for our Clinical Team

As a vital member of our administrative team, you will play a crucial role in facilitating communication between staff, patients, families, and external organizations as necessary.

Key Responsibilities

Your primary duties will include delivering comprehensive administrative and secretarial support to the Consultant and their team. Previous experience in a medical administrative role, particularly within a mental health or NHS context, is preferred. Proficiency in audio typing and familiarity with clinical systems will be advantageous.

Role Responsibilities

  • Collaborate effectively within the Medical Secretariat, fostering productive relationships with team members while understanding the Trust's objectives and operations.
  • Provide high-quality administrative and secretarial services to the Consultant and their medical colleagues, ensuring consistent office coverage.
  • Prepare documents such as clinic letters, discharge summaries, and reports using audio, shorthand, or copy typing skills as needed.
  • Ensure timely typing of discharge summaries and other critical information.
  • Manage and prioritize your workload efficiently, often under pressure, with minimal supervision.
  • Respond promptly to urgent situations to ensure excellent service delivery to patients and their caregivers.
  • Maintain effective communication with medical professionals involved in patient care to facilitate urgent actions when necessary.
  • Relay patient information accurately to the Consultant, ensuring timely communication of health conditions and concerns.
  • Assist in managing the Consultant's schedule, organizing meetings, and handling related administrative tasks.
  • Support the organization of training programs and conferences, ensuring all logistical arrangements are in place.
  • Provide assistance in various specialist areas, including academic and clinical activities, to ensure smooth operations in line with Trust policies.
  • Coordinate patient investigation appointments as directed by the Consultant and ensure results are communicated effectively.
  • Work collaboratively within the clinical support team to deliver comprehensive administrative services.
  • Mentor new or less experienced team members by sharing knowledge and best practices.
  • Uphold confidentiality and adhere to GDPR regulations in all aspects of the role.
  • Ensure efficient filing and record-keeping systems are maintained for easy access to documents.
  • Take responsibility for the maintenance of office equipment and report any issues promptly.
  • Assist in data collection and management to support the Consultant's work.
  • Provide support to new staff during their induction process.
  • Adhere to equal opportunities and health & safety policies.

Qualifications and Skills

Essential

  • GCSE English and Mathematics
  • NVQ Level 3 in Business Administration or relevant experience in a secretarial role
  • Advanced IT skills in Microsoft Office Suite
  • Experience in a team environment and prior secretarial experience
  • Typing speed of 60+ WPM

Desirable

  • AMSPAR Qualification
  • Experience within the NHS or mental health settings
