Job Title: Bid Coordinator

Job Summary:

We are seeking a highly organized and detail-oriented Bid Coordinator to join our Bid Management Team. As a Bid Coordinator, you will be responsible for organizing all team activity, delivering industry-leading document submissions, and facilitating the production of high-quality customer presentations.

Key Responsibilities:

  • Preparation and planning of bid projects, including bid team, bid plan, work packages, milestones, and deadlines
  • Planning and administration of bid internal communication in the bid team and with other key stakeholders in the organization
  • Administration of the virtual bid team and operational bid projects, focusing on bid management of tasks in the bid team
  • Planning and tracking of agreed internal and external bid delivery dates and ensuring completeness and consistency of contributors within the bid team

Bid Document Management:

  • Planning and ownership of document handling, including filing structure, naming conventions, and responsibilities
  • Collecting, preparing, and integrating standard proposal content and customized bid content for customers
  • Responsible for the quality of offer documents and presentations, considering individuality of different customers
  • Closure of bid projects, providing content for re-use into standard knowledge and bid libraries

Requirements:

  • Good academic or vocational qualifications
  • Strong organizational skills, able to manage multiple priorities
  • Excellent interpersonal and communication skills, verbal and written, credible at all levels of the organization
  • Excellent command of the English language, both written and verbal
  • Ability to find and use multiple sources of data
  • Experience in unsupervised completion of administration or coordination tasks
  • Experienced in document creation and collaboration
  • Understanding of the IT industry and/or bidding/procurement practice
