We are collaborating with a prestigious architecture firm located in Barbican, London, in search of a meticulous and dedicated professional to oversee their studio operations.
In this dynamic position, you will play a crucial role in ensuring the efficient daily functioning of the studio while fostering a productive environment for the team. This position reports directly to the Practice Manager and works closely with the leadership team.
Studio Operations Management
- Oversee the daily operations of the studio.
- Manage inventory of supplies, including stationery, cleaning materials, and catering provisions, ensuring adequate resources for both in-office and remote staff.
- Implement new systems as necessary to enhance the overall management of the studio and remote workspaces.
- Coordinate with contractors and suppliers for studio maintenance, including cleaning and general facility-related issues.
- Communicate with the landlord to address all premises-related concerns, including security and access.
- Engage with tenants and neighboring businesses.
- Organize bookings and arrangements for meeting spaces and virtual gatherings to align with practice and project requirements.
- Collaborate with functional leads on resources such as libraries, samples, and models.
- Arrange refreshments for meetings and maintain meeting spaces throughout the day.
- Act as the primary point of contact for the practice, managing the telephone system and welcoming visitors and deliveries.
- Handle the distribution of mail and packages.
- Ensure the studio, kitchen, and meeting areas maintain a professional appearance.
Communication Responsibilities
- Maintain the company website as directed.
- Organize presentations, including project updates and showcases.
- Ensure the employee handbook is current and that processes are effectively communicated to the broader team.
- Coordinate networking and team-building events as needed.
Corporate Social Responsibility (CSR)
- Support the Head of Sustainability in developing and promoting sustainability initiatives.
- Assist in reviewing and enhancing environmental and CSR policies.
- Manage environmental certifications and policies (e.g., RIBA, HoTC, ISO 14001).
Human Resources Support
- Provide assistance with HR administration as required.
- Help in reviewing and updating practice policies and procedures.
- Support new employee onboarding, including IT setup and workspace allocation.
- Assist in coordinating training sessions and continuing professional development meetings.
- Help manage student work placements.
- Serve as the point of contact for the trainee program, including attending meetings and assisting with marketing and communications.
Financial Assistance
Support the finance team as needed, including monitoring the studio budget and managing receipts and bookkeeping.
Candidate Profile
- Previous experience in a similar role, such as Office Manager or Studio Manager.
- Highly organized and detail-oriented, capable of managing multiple priorities in a fast-paced environment.
- Effective communicator, able to engage with senior leadership, architectural teams, and external stakeholders.
- A creative mindset with a genuine interest in Art, Design, Architecture, or the Built Environment is advantageous.
