The successful candidate will play a pivotal role within the Elderly Medicine and Orthogeriatrics teams, overseeing the workflow and serving as the primary liaison for the Deputy Performance and Operations Manager.

Applicants should possess a solid background in coordination, preferably within a healthcare setting. Exceptional organizational and interpersonal skills are essential, along with the ability to thrive in high-pressure situations. The role requires initiative and effective communication skills, as the post holder will interact with patients, families, and healthcare professionals both over the phone and in person.

Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, is required.

Communication Responsibilities:

  • Manage patient communications through telephone interactions and utilize Trust systems for creating letters, emails, and text reminders.
  • Address escalated inquiries from the Inpatient Booking Team.
  • Serve as a point of contact for clinical and non-clinical staff regarding queries.
  • Escalate patient inquiries, capacity challenges, and breach details to the line manager as necessary.

Organizational and Planning Duties:

  • Assist the Deputy Performance and Operations Manager in meeting performance targets related to inpatient and day case waiting lists, escalating issues as needed.
  • Monitor, manage, and validate both active and backlog waiting list data.
  • Coordinate operating theatre bookings for consultant teams, ensuring compliance with local policies and optimizing theatre and bed capacity.
  • Conduct investigations for patients who did not attend their admissions, cancellations, and unconfirmed admissions, taking appropriate actions in line with procedures.
  • Initiate actions to prevent patients from exceeding maximum waiting times, ensuring timely notice and choice of admission dates.
  • Governance and validation of RTT and performance data through effective use of operational reports.
  • Participate in relevant meetings as required by the line manager.
