Job Summary

We are seeking a highly organized and detail-oriented Refrigeration Service Administrator to join our team at Integral UK. As a key member of our service operations team, you will play a crucial role in ensuring the smooth delivery of our refrigeration services to our customers.

Main Responsibilities
  • Customer Service: Respond to and log incoming calls and requests from internal and external customers, providing timely and effective support to resolve their queries and issues.
  • Resource Coordination: Collaborate with other team members and the Service Manager to coordinate engineer resources and labour, ensuring optimal utilization and efficient deployment.
  • Procurement and Logistics: Order parts and raise purchase orders for subcontractor labour as required, maintaining accurate records and ensuring timely delivery.
  • Escalation and Resolution: Initiate first-stage internal and customer escalation processes, working closely with colleagues to resolve complex issues and ensure customer satisfaction.
  • Project Management: Take on projects as needed and see them through to successful completion, applying your skills and expertise to deliver high-quality results.
  • Contract and Call Management: Prioritize customer contracts and outstanding calls, dispatching engineers efficiently and effectively to meet customer needs.
  • Cost Savings and Efficiency: Identify opportunities for cost savings and process improvements, implementing changes to enhance our service delivery and reduce waste.
  • Team Support: Assist colleagues with tasks outside your role, promoting a collaborative and supportive team environment.
  • Compliance and Governance: Ensure adherence to company policies, legislative requirements, and best practices, maintaining a culture of compliance and excellence.
  • WIP Management: Effectively manage work-in-progress (WIP) from creation to invoice completion and job closure, ensuring accurate records and timely closure.
  • Environmental Sustainability: Contribute to Integral's environmental policies, suggesting new ideas to improve environmental efficiencies and reduce our impact.
  • Health and Safety: Adhere to H&S procedures, balancing business constraints with efficiency and effectiveness.
  • Customer Quotes and Reporting: Generate quotes for customers and update, upload, and check client online systems and KPI reports, ensuring accuracy and timeliness.
  • Administration Support: Provide day-to-day support to the Administration Supervisor in call management, call handling, and general administration of service contracts, aligning with customer and Integral KPIs.
  • Cylinder Rentals: Record and control cylinder rentals, maintaining accurate records and ensuring timely management.
Requirements and Qualifications
  • Microsoft Excel Proficiency: Proficient use of Microsoft Excel, applying your skills to analyze data, create reports, and optimize processes.
