Position Overview

The Royal Marsden NHS Foundation Trust is on the lookout for a dedicated Lead Administrative Coordinator to enhance the operational efficiency within our outpatient departments. This pivotal role is essential for the seamless functioning of our outpatient services, ensuring a welcoming environment for patients and their families.

As a vital member of our multidisciplinary team, you will demonstrate exceptional interpersonal, communication, and organizational skills. Proficiency in IT and administrative tasks is required, and prior experience in a healthcare setting is advantageous. This position offers a full-time schedule from Monday to Friday.

Key Responsibilities

  • Manage reception areas within the Outpatient and Rapid Diagnostic Assessment Centre (RDAC) Departments, ensuring coverage and professionalism in handling telephone inquiries.
  • Oversee patient check-in processes, ensuring accurate booking for necessary medical procedures as directed by clinical staff.
  • Maintain precise records of patient arrivals and departures in the Digital Health Record (DHR) system.
  • Coordinate appointment scheduling, liaising with clinical teams to address overbooking issues and minimize patient wait times.
  • Assist clinical staff during appointments to ensure smooth clinic operations, preparing all necessary documentation and results in advance.
  • Facilitate the rescheduling of appointments as requested by patients or medical personnel, and manage bookings for external clinics when necessary.
  • Implement a systematic approach for documenting important clinic-related paperwork, ensuring accurate record-keeping.

Qualifications

Essential:

  • Strong educational background, ideally at GCSE level or equivalent.
  • Experience in team leadership or relevant administrative roles.

Desirable:

  • Completion of a customer service training program.
