About the Role

We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. This is an exciting opportunity to work in a dynamic and fast-paced environment, providing administrative support to our senior staff and Clinical Services Lead.

Key Responsibilities
  • Provide administrative and practical support to senior staff and Clinical Services Lead, ensuring a safe and efficient service during vaccination and health promotion work.
  • Ensure staff have correct access rights to systems used to provide services, and maintain accurate records of training compliance, competence compliance, and Standard Operating Procedures (SOPs).
  • Support senior staff with accurately completing return to work documentation and notification of trigger points under the Your Attendance Matters policy.
  • Organize and maintain diaries for the team, arrange meetings, and ensure appropriate paperwork is brought forward.
  • Provide travel directions and support other staff in the planning and administration of events, including venue booking, equipment setup, and hospitality needs.
  • Assist with the facilitation of events, including preparation and circulation of papers, promotional materials, and minutes of meetings.
  • Produce high-quality documents and reports using Microsoft Office, including letters, memos, and emails.
  • Investigate options and finalize arrangements for printing and distribution of reports, and assist in the development and creation of databases.
  • Deal with incoming and outgoing mail, and respond to telephone enquiries and visitors to the department.
  • Maintain a record of requisitions ordered and received, and update and maintain the filing systems for the team.
  • Undertake maintenance of administrative systems, including photocopying and emailing, to ensure the smooth and efficient processing of routine matters.
Person Specification

We are looking for an individual with the following skills and qualifications:

  • Good verbal and written skills
  • Ability to produce work to a high standard
  • Ability to work as a team or on own initiative and under pressure
  • Knowledge and proficiency in MS Office package
  • Proven administration experience working for senior manager
  • Previous experience of working in the NHS
  • RSA typing level 3 or equivalent experience
  • NVQ 3 in business administration or relevant experience
