The role of the Executive Assistant is pivotal in facilitating the effective planning and organization of the Partners' schedules, ensuring that their professional commitments are managed seamlessly.

The Executive Assistant must comprehend and assist the Partners in balancing their time across corporate responsibilities, client engagements, and business development initiatives.

Key responsibilities include:

Diary Management

  • Oversee and coordinate the Partners' calendars, ensuring optimal use of their time across various commitments.
  • Maintain a record of business development meetings and keep relevant teams informed.
  • Adapt to shifting priorities with agility, managing communications with affected parties thoughtfully.
  • Establish and nurture relationships with client EAs to enhance collaboration.
  • Plan and arrange travel logistics meticulously, providing clear instructions for travel to new destinations.

Inbox and Correspondence Oversight

  • Manage email correspondence, including organizing, prioritizing, and responding on behalf of the Partners when appropriate.

Meeting and Event Coordination

  • Prepare necessary documentation for meetings and collaborate with business development teams to support key initiatives.
  • Ensure clarity in requirements for Partners by working closely with delivery managers.
  • Identify suitable venues and make necessary reservations for events.
  • Assist Partners in fulfilling corporate obligations by allocating time for essential evaluations and processes.

Personal Support

  • Welcome guests and attend to their needs during visits.
  • Provide refreshments for the Partners and senior team as required.

Qualifications

Essential:

  • Degree-level education or equivalent experience.
  • Ability to thrive in a dynamic and fast-paced environment.
  • Strong organizational skills with meticulous attention to detail.
  • Proactive problem-solving abilities and flexibility in approach.
  • Excellent verbal and written communication skills.
  • Intermediate proficiency in Microsoft Office Suite, particularly Outlook.

Preferred:

  • Experience in a professional services setting as a personal assistant.
  • Background in supporting senior executives.
