About the Role

This is an exciting opportunity to join Hays Business Support as an Administrative Support Specialist for Senior Leaders. As a key member of our team, you will provide high-level administrative support to our Senior Leaders, ensuring the smooth operation of our HR functions.

Key Responsibilities
  • Organize and coordinate meetings, appointments, and events for Senior Leaders, including room bookings and reception arrangements.
  • Take minutes at formal meetings and produce and circulate these as required.
  • Develop and maintain templates, documents, and other materials in Word, Excel, PowerPoint, and other packages.
  • Maintain accurate and up-to-date records, including mail distribution lists, organizational charts, and other documents used across HR.
  • Collect and distribute physical post, scan and email colleagues as needed.
  • Assist in the development of step-by-step guides to improve existing processes.
  • Update the HR intranet content to ensure HR information is easily accessible and understandable.
  • Support the review of internal processes to ensure the most suitable HR functions are carried out by the most appropriate roles.
  • Manage the Talent and Capabilities email account, dealing with frontline enquiries and signposting enquirers to relevant policies.
  • Be the first point of contact for external facilitators, managing reception and escorting arrangements as required.
  • Circulate and collate training evaluation forms.
  • Assist with the administration and management of training records and reporting.
  • Support senior HR colleagues during periods of peak activity, such as the annual pay award and in-year bonus scheme.
  • Ensure information on the intranet remains up-to-date and relevant.
  • Organize stationery and other consumables for HR as required.
  • Report issues with the HR workspace to the relevant helpdesks and follow through to resolution.
