  • Assist the Supplies Manager in general clerical duties, including the raising of purchase orders, progressing of orders, and sourcing of equipment/services.
  • Perform stock checks as required, investigating and resolving any discrepancies found.
  • Collate information from the section or computer system as needed by the Shared Service Centre Manager or Supplies Manager.
  • Supply and fit uniform to all staff, ensuring a high level of customer satisfaction.
  • Liaise with the Shared Service Centre Manager regarding routine order/invoice matters.
  • Progress and chase purchase orders, ensuring timely delivery of goods.
  • Check invoices submitted against orders raised by the section, clearing invoices for payment on proof of delivery.
  • Input details of all transactions to the computerized system, maintaining accurate records.
  • Respond to new Force initiatives regarding the requirements of new technology and Health and Safety.
  • Advise customers on the services and goods supplied, dealing with any complaints.
  • Monitor stock levels, adjusting levels accordingly to ensure optimal inventory management.
  • Arrange destruction/disposal of returned clothing items or stock written off by the Supplies Manager or Shared Service Centre Manager.
  • Organize collection of goods being returned to suppliers, ensuring correct procedures are enforced.
  • Operate a good housekeeping policy, maintaining a tidy work area and safe system of work within the section.
  • Prepare and input data into the computer, ensuring accuracy of information.
  • Assist in the training of new staff in the section on the computer system.
  • Receive customers, visitors, drivers, and telephone enquiries, ensuring the security and integrity of the supplies section.
  • Undertake general stores maintenance, including stock relocation, stock checking procedures, and ensuring a safe and tidy working area.
  • Monitor stock levels, bringing shortages/surpluses to the attention of the Supplies Manager or placing appropriate orders.
  • Advise customers on the maintenance of uniform.
  • When issuing items of clothing, fit customers from stock where possible, or label the garment for alteration.
  • In the case of alterations, complete necessary instructions and liaise with the Tailoress.
  • Where it is not possible to fit or alter a garment, take full measurements of the customer and submit a 'special measure' sheet and place an appropriate order.

  • NVQ level 3 or equivalent in Purchasing or a related subject, or an equivalent amount of proven relevant experience.
  • Minimum of English and Maths at GCSE level or equivalent.
  • Previous experience of working in a similar environment to stores/supplies.
