This is a temporary position focused on overseeing the Facilities Management operations within the office environment, collaborating closely with the central facilities team.
Key Responsibilities
- Mail and Courier Management: Organize incoming mail and ensure it reaches the appropriate departments while coordinating courier services efficiently.
- Visitor Coordination: Establish a reliable process for notifying relevant personnel about visitors and key contacts.
- Documentation Maintenance: Develop and update the Reception and Office Manual to ensure all procedures are documented.
- Facilities Support: Act as the primary contact for the Facilities team, assisting with the management of access controls, monitoring access levels, and handling catering and event requests.
- Health and Safety Compliance: Maintain essential records such as Fire Risk Assessments and First Aid Certifications. Ensure that all new employees receive necessary training and that the accident log is kept up to date.
- Vendor Coordination: Schedule handyman services and ensure that repairs are executed promptly and to a high standard, while managing relationships with service providers.
- Communication Skills: Exhibit excellent verbal and written communication abilities.
- Technical Proficiency: Demonstrate a solid understanding of Microsoft Office applications, including Word, Outlook, PowerPoint, and Excel.
- Collaborative Work Style: Work effectively with both internal teams and external partners without the need for supervision.
- Organizational Skills: Possess strong organizational capabilities with the ability to meet deadlines.
- Adaptability: Maintain a flexible approach and the ability to adjust to evolving business needs.
