Calderdale and Huddersfield NHS Foundation Trust is seeking a highly motivated and organized individual to join our dynamic team in the Appointment Centre at Huddersfield Royal Infirmary.

Job Summary

This is an exciting opportunity to support the trust in the delivery of its outpatient services from within the Appointment Centre. The role will involve working as part of the Booking Team, responsible for the priority management of patients awaiting outpatient appointments, booking, cancelling, and rescheduling appointments in line with service need.

Main Responsibilities
  • Manage and coordinate outpatient appointments, ensuring timely and efficient booking, cancellation, and rescheduling processes.
  • Ensure accurate and up-to-date information is maintained on electronic systems, including patient records and appointment schedules.
  • Coordinate transportation for patients as needed, notifying the transport department of any changes or cancellations.
  • Maintain effective communication with internal staff, clinicians, patients, and external organizations to resolve appointment-related issues.
  • Transcribe data from multiple sources into electronic patient records with accuracy and attention to detail.
  • Manage outpatient referrals via e-Referral and work lists produced on various systems related to CHFT.
  • Communicate with patients via phone to remind them of pending appointments, changes, and cancellations, and re-negotiate appointments resulting from hospital/patient-initiated cancellations.
  • Perform general administrative tasks, including scanning, photocopying, and handling post, while maintaining confidentiality and adhering to trust guidelines.
RequirementsQualifications/Training
  • GCSE English grade 3-9 and GCSE Mathematics grade 3-9 (A*-D or equivalent).
Knowledge, Experience & Expertise
  • Experience working in a customer-focused setting.
  • Proficiency in using various administrative computer systems.
  • Motivation to develop the role and themselves.
Communication and Relationships (including Management Responsibilities)
  • Excellent communication skills, with the ability to demonstrate effective verbal and written communication.
  • Good organizational skills, with the ability to prioritize workload and meet deadlines.
  • Able to work independently and as part of a team, with a strong focus on collaboration and teamwork.
