Role Overview: In this position, you will manage and coordinate all facets of Sales & Event operations, which includes handling inquiries, negotiations, bookings, confirmations, contracts, organization, event execution, invoicing, payment processing, and gathering customer feedback.

This role demands a proactive mindset towards sales opportunities, nurturing client relationships, and acquiring new business. It is crucial to uphold the highest standards of guest satisfaction while striving to enhance sales, occupancy, and revenue. Furthermore, you will act as a brand representative for the hotel and the organization.

Key Responsibilities:

Administrative Duties:

  • Coordinate weekly function sheets to ensure all team members are informed.
  • Monitor inquiry levels and provide daily updates to the commercial manager.
  • Document and revisit lost business and inquiries to ensure no potential opportunity is overlooked.
  • Communicate with department heads regarding last-minute bookings and VIP tours.
  • Maintain and update the reservation database, ensuring all details are accurately recorded.

Business Development:

  • Identify new and returning business opportunities to drive hotel revenue across various segments.
  • Lead local sales initiatives, including social media campaigns and showcase events.
  • Execute the Hotel Sales & Marketing strategy, assess outcomes, and modify tactics for optimal results.
  • Develop and promote events, weddings, and local promotions in collaboration with the marketing team.

Guest Services:

  • Oversee the booking process from inquiry to execution, ensuring seamless event delivery.
  • Promote hotel amenities to maximize occupancy and revenue.
  • Cultivate strong relationships with clients, ensuring a personal and respectful connection.
  • Address customer feedback and complaints promptly to maintain high service standards.

Financial Management:

  • Ensure optimal occupancy and event pricing to maximize revenue.
  • Supervise invoicing, client credit assessments, and payment procedures.
  • Maintain precise financial records, ensuring all charges are accurately documented.

Team Leadership:

  • Guide the sales office team, ensuring effective training and development.
  • Encourage teamwork and foster positive employee relations.
  • Conduct performance evaluations, identify training needs, and support career growth.
  • Ensure all staff comply with company grooming standards and health & safety protocols.

General Responsibilities:

  • Manage the departmental calendar to optimize revenue opportunities.
  • Collaborate with the Commercial & Revenue Delivery Manager and other departments.
  • Participate in meetings, training sessions, and courses as necessary.
  • Continuously seek to enhance customer service and departmental knowledge.

Essential Skills and Experience:

  • Proven sales professional with experience in the hospitality sector.
  • Familiarity with a hotel sales office environment.
  • Strategic and successful approach to exceeding KPIs and driving business growth.
  • Knowledge and experience with Opera or similar Property Management Systems.
  • Formal sales training in areas such as negotiations and strategic selling.
  • Proficient in MS Word, Excel, PowerPoint, and online tools.
  • Able to work effectively under pressure to meet deadlines and targets.
  • Understanding of the hospitality and travel industry.
  • Ability to work independently with minimal supervision.
  • Demonstrated strong interpersonal, organizational, and communication skills (both written and verbal).
