A Typical Day as a Full-Time Academy Systems Support Administrator
- Recruit apprentices for Stoneacre Motor Group, providing initial guidance to ensure they comprehend their roles and the apprenticeship journey.
- Offer comprehensive administrative support for the Academy and Technical school, ensuring compliance and adherence to processes at the highest standards.
- Foster and maintain positive working relationships with staff, learners, and key stakeholders to help the company meet its targets and objectives.
- Participate in school and college career events, providing insights and guidance to potential apprentices about their roles, career opportunities, and training plans.
- Collaborate with managers to create job advertisements that accurately reflect their requirements.
- Promote apprentice vacancies across various platforms, including social media.
- Pre-screen candidates, offering initial advice and guidance regarding their roles and ensuring they are placed in the most suitable apprenticeship programs.
- Organize and communicate effectively to ensure smooth scheduling of interviews between candidates and interviewers.
- Work with tutors and employers to coordinate suitable start dates and induction processes.
- Build strong relationships with employers to understand their recruitment and business needs.
- Follow established procedures to ensure careful selection of candidates.
- Provide comprehensive information, advice, and guidance to ensure learners receive clear direction regarding their apprenticeship, job outcomes, and career paths.
- Engage in meetings and team activities.
- Ensure all learner information is collected, entered, and stored in compliance with Data Protection regulations.
- Coordinate all initial, pre-start, induction, and start paperwork to ensure new apprentices are well-informed about their journey and that induction is completed effectively.
- Assist the Academy and team members with relevant operational and administrative tasks.
- Support the Academy in compiling and entering learner information to meet funding quality and compliance requirements.
- Aid the Group Academy Manager and Quality Assurance Manager in fulfilling internal and external audit and compliance requirements.
- Gather and analyze management information to inform the continuous improvement of programs and provide evidence of achievement of specific funding priorities.
- Report any discrepancies or missing information from learner applications or progress reviews to the Group Academy Manager and follow up with tutors/assessors as necessary.
- Coordinate all start, progress, and completion paperwork for tutors/assessors, ensuring compliance targets are met and assessors are compensated accurately and timely.
- Complete all registrations for Awarding body requirements and support functional skills tutors as needed.
