About the Role
We are seeking a highly skilled and proactive Executive Support Professional to join our team at Dentons Canada. As a key member of our organization, you will play a vital role in delivering exceptional client service and supporting our partners and fee-earners.
Key Responsibilities
Organisation and Planning- Manage complex diaries and travel arrangements, ensuring seamless coordination and supervision when needed.
- Diarise and monitor deadlines, ensuring timely completion of tasks and projects.
- Arrange client entertainment and assist with the organization of client seminars and conferences, with supervision when needed.
- Take ownership of organizing internal events, such as training sessions and social events.
- Conduct research on clients as instructed by fee-earners, providing valuable insights and support.
- Act as the primary point of contact for non-legal client queries, handling telephone inquiries and liaising with the client secretarial team to discuss billing processes.
- Build and maintain effective relationships with internal and external clients, fostering strong partnerships and trust.
- Support client reporting requirements, ensuring accurate and timely delivery of information.
- Assist partners with bid and tender submissions, providing administrative support and coordination.
- Support partners in creating client presentation materials, ensuring high-quality and engaging content.
- Collaborate with the Business Development team to support events and initiatives.
- Take ownership of complex billing arrangements, ensuring accurate and timely processing.
- Support partners in monitoring Work-in-Progress (WIP) management, providing administrative support and coordination.
- Transcribe BigHand dictations of less than 5 minutes, ensuring accurate and timely delivery.
- Create and amend data sets in Excel, providing valuable insights and support.
- Demonstrate a high level of experience providing support to a Practice Group and a wide range of secretarial and administrative tasks.
- Proficiently use Microsoft Office Suite, including Excel and PowerPoint.
- Adopt a flexible and adaptable approach to work, ensuring seamless integration with the team.
- Employ a coaching and mentoring approach when working with junior team members.
