Job Duties

Responsibilities include:

  • Processing requisitions through the Trust's purchase to pay system to generate Purchase Orders, Standing Orders, and Call-off Orders in line with established procedures.
  • Managing the onboarding of new suppliers within the purchase to pay system.
  • Reviewing requisitions for compliance with local, collaborative, and national agreements.
  • Ensuring requisitions align with Standing Financial Instructions and advising customers on necessary adjustments.
  • Addressing notifications generated by the Trust's purchase to pay system to facilitate timely invoice payments, resolving discrepancies as needed.
  • Collaborating with the Finance Department and suppliers to resolve invoice and pricing inquiries.
  • Working closely with the e-procurement team to maintain the accuracy of the electronic catalogue.
  • Fostering strong relationships with customers through regular communication to enhance understanding of their needs.
  • Disposing of goods responsibly on behalf of Trust clients, considering value for money and environmental regulations.
  • Requesting and analyzing quotations to ensure best value in all transactions, maintaining accurate records of savings achieved.
  • Developing a comprehensive understanding of procurement product areas and staying informed about market trends.
  • Upholding ethical standards in public business transactions and maintaining professionalism in all interactions.
  • Managing incoming communications efficiently, prioritizing urgent matters.
  • Processing purchase orders and handling requests for order reprints.
  • Demonstrating effective time management and prioritizing workload to address urgent needs promptly.
  • Assisting in training team apprentices and new staff, contributing to training materials.
  • Addressing queries from customers and suppliers professionally, focusing on order processes and resolving delivery issues.
  • Undertaking additional assignments as directed by the Head of Supply Chain, Head of Procurement, or Director of Procurement & Supply Chain, adapting to the unpredictable nature of urgent requests.

Qualifications

  • Strong educational background.
  • Proficient IT and keyboard skills.
  • Computer literacy.
