Position Overview

The Reception Supervisor plays a pivotal role within the reception team, overseeing daily operations and ensuring that all tasks are executed in alignment with established protocols and timelines. This position reports directly to the Practice Manager as needed.

Key Responsibilities

The Reception Supervisor is tasked with the following core duties:

  • Onboarding and training new team members to meet established standards.
  • Monitoring staffing levels, approving leave requests, and managing schedules effectively.
  • Ensuring that all team members have sufficient time allocated for administrative responsibilities.
  • Overseeing the management of the appointment system.
  • Guiding patients to appropriate services and addressing complex inquiries.
  • Handling general inquiries from patients and the public via telephone.
  • Initiating and responding to communications from patients, team members, and external organizations.
  • Updating patient healthcare records as required.
  • Directing requests for information to the administrative team.
  • Efficiently managing all queries as they arise.
  • Conducting system searches as requested.
  • Maintaining a clean and organized workspace at all times.
  • Monitoring the reception area and ensuring notice boards are up to date.
  • Assisting clinical staff with general tasks as needed.
  • Ensuring all reception duties, including prescriptions and emails, are current.

Additional Responsibilities

In addition to the primary responsibilities, the Reception Supervisor may be required to:

  • Participate in audits as directed by the audit lead.
  • Provide reception staff to assist administrative personnel during absences.
  • Develop and maintain the receptionist rota for lunch and out-of-hours coverage.
  • Support the professional development of reception staff, ensuring compliance with mandatory training.
  • Identify and facilitate team training as necessary.
  • Assist the Practice Manager in creating and maintaining the duty rota, adhering to practice policies for opening and closing procedures.
  • Support the management of repeat prescriptions, ensuring accuracy and efficiency.
  • Assist with matters related to the Patient Participation Group and promote health initiatives through appropriate materials in the waiting area.

Qualifications

Essential:

  • GCSE pass in English and Maths.

Desirable:

  • Experience in customer service, both face-to-face and over the phone.

Knowledge and Skills

Essential:

  • Strong interpersonal and communication skills.

Desirable:

  • Proficient IT skills.

Experience

Desirable:

  • Prior experience in a Primary Care setting.
