Job Summary
Asahi Europe & International is seeking an experienced Administrative Support Specialist to provide high-level administrative support to our Office Management Team. The successful candidate will be responsible for providing clerical assistance, managing calendars, and coordinating travel arrangements.
Key Responsibilities
- Provide administrative support to the Office Management Team, including managing calendars, preparing documents, and making travel arrangements.
- Coordinate travel itineraries, book flights and hotels, and manage travel expenses.
- Assist with presentations and reports, including preparing materials and coordinating logistics.
- Provide clerical assistance to senior managers, including preparing business travel claims and expense reports.
- Manage documents and records, including processing purchase orders and goods receipts.
- Drive communication between the travel agency and AEI travellers, and set up and control SLAs with the travel agency.
- Perform regular trainings for travel booking and assess the hotels on the market, proposing improvements for the cities and hotels in the Preferred Hotels List.
- Promote professional behavior in the workplace, keep all information confidential, and ensure that outputs are prioritized and completed according to customer requirements.
Qualification Criteria
- Secondary school education as minimum.
- Relevant knowledge and experience in the Assistants role and of administration duties.
- Travel Management experience is an advantage.
- Proficiency in English.
- Strong organizational skills.
- Good PC knowledge (MS office, Concur).
- Minimum 3 years' experience in an international company.
- Driving license B is an advantage.
