Senior Admissions Officer

We are seeking a highly skilled and experienced Senior Admissions Officer to join our team at a prestigious education institution in the West Surrey area. As a key member of our admissions team, you will be responsible for providing exceptional customer service to prospective parents, agents, students, and feeder schools, ensuring a smooth and efficient admissions process.
Key Responsibilities:- Provide high-level customer service via email, telephone, and face-to-face communications with prospective parents, agents, students, and feeder schools.
- Ensure prospective students and parents are guided and encouraged through the admissions process in a professional, helpful, and efficient manner.
- Conduct in-person school tours and/or online meetings for international families and agents.
- Liaise with members of academic staff to organize meetings with prospective parents and students as required.
- Ensure prospective parents, students, and feeder schools are informed of entry and interview dates in a timely and professional manner.
- Track and maintain application data at all stages of the admissions process, including enquiries, applications, assessments, offers, and rejections, scholarships, and enrolments.
- Draft decision letters for the Head of School as directed by the Head of Admissions.
- Work with the UK Admissions Officer to collate New Students Welcome Pack materials and mailing and liaise with the Marketing and Communications Officer to ensure relevant material is on the website in a timely manner and all onboarding material is sent out to families.
- Ensure every student joining our education institution at any time has the appropriate welcome and joining information and liaise with academic and boarding house staff as relevant.
- Support the Head of Admissions in the collection, analysis, and reporting of international student admissions data.
- Maintain a register of international agents, screen agency requests, collect references, and liaise with the Bursary regarding agency commission payments.
- Develop relationships with key agents, including online training and familiarization meetings, webinars for prospective families, and work with the Marketing team on the production of a termly agent newsletter.
- Become familiar with and remain up to date with all aspects of Sponsorship compliance, and all associated guidance issued by the Home Office. Training will be provided if needed.
- Provide compliance advice and updates to the Head of Admissions.
- Provide informed immigration advice to prospective parents, agents, and pupils.
- Support the Head of Admissions in the issuing of CAS documents.
- Conduct a regular audit of the School's operational records to ensure compliance with UKVI requirements for Sponsor record-keeping duties.
- Attend regular UKVI compliance training courses, as required.
- Maintain meticulous compliance records for Child Student Visa holders and holders of other visas, in accordance with UKVI regulations.
- Complete and record Right to Study checks for all students, regardless of nationality or visa status, in accordance with UKVI regulations for sponsors.
- Ensure Appendix D documents and evidence of Right to Study for all sponsored students and other visa holders are loaded to Open Apply, for ease of access and reference during any UKVI audit or inspection.
- Work with the Head of Boarding to maintain a record of all arrivals and departures of sponsored students into and out of the UK, as well as details of responsibility for care in the UK for all exeats and school holidays.
- Produce travel letters for sponsored students at the end of each term.
- Bachelor's degree preferred, plus one year's related experience in an educational setting. (Candidates without a bachelor's degree but with equivalent professional experience are encouraged to apply).
- IT proficiency with knowledge of relevant software applications, including Open Apply, MS Office 365, Excel, PowerPoint, and database skills are essential.
- Strong verbal and written communication skills, with the ability to communicate effectively with a variety of stakeholders and cross-continent teams.
- Excellent organizational and time-management skills.
- Ability to be innovative and creative when thinking about student recruitment.
- Able to work efficiently and accurately with meticulous attention to detail.
- Absolute discretion and the ability to maintain confidentiality at all times.
- Evidence of continual willingness to develop own professional skills.
- Excellent interpersonal and relationship management skills at all levels.
- Ability to work well in a fast-paced, multi-tasking environment.
- A proactive approach to work; have personal integrity and the drive to do what is best for the students and the School.
- Desirable: Experience of Admissions within an educational setting.
- Knowledge of an additional language would be advantageous.
- Prior knowledge of UKVI Child Student sponsorship processes and compliance duties would be an advantage.
