Job Summary:

A leading property company in the UK is seeking an experienced Property/ Tenancy Manager to join their busy team. As a key member of the property management team, you will be responsible for ensuring a smooth tenancy process for clients, while maintaining high levels of customer service and adhering to all relevant legislation.

Main Responsibilities:

  • Ensure tenants are moved in smoothly with excellent communication and all legislation adhered to.
  • Manage the client journey effectively, providing a high level of service to ensure clients re-let their properties.
  • Book viewings for viewing clerks and act on enquiries quickly to prevent leads from going stale.
  • Put forward offers to landlords, ensuring the client is the right fit for the property and the business.
  • Reference tenants in full, following standard processes, and ensure the correct options are chosen as per the landlord's requirements.
  • Ensure all safety certificates are up-to-date, either prior to or during the tenancy process.
  • Inform tenants of moving in and out of properties, and ensure tenants' deposits are registered and protected legally and within time.
  • Take rent in advance and instruct chosen suppliers to carry out inventories prior to tenants moving in.
  • Ensure tenants sign their AST correctly, in accordance with the agreed rent, start dates, and tenancy length.
  • Keep clients informed of developments throughout the process via standard emails and phone calls.
  • Set up PayProp efficiently to ensure prompt payments for landlords.

Key Tasks:

  • Ensure maintenance issues are dealt with quickly and in accordance with landlords' requirements.
  • Contact tenants regarding arrears, following the accounts department's daily arrears report.
  • Be proactive with problem tenants and take landlords' instructions on serving notices.
  • Recommend chosen partners and ensure tenancies are renewed as per landlords' and tenants' instructions.
  • Re-advertise properties where tenants have given notice to vacate.
  • Book check-out reports with chosen suppliers.
  • Manage any deposit returns, deductions, and disputes in accordance with business processes.

Additional Responsibilities:

  • Obtain positive reviews from landlords and tenants.
  • Explore opportunities with existing clients for new property referrals.
  • Make aware of potential longer-term void periods on properties and work on an action plan.
