We are pleased to announce an opportunity for a Talent Acquisition Coordinator to join our organization during a temporary period of maternity leave.

The Talent Acquisition Coordinator collaborates closely with the broader recruitment team to facilitate all hiring processes, ensuring an exceptional experience for candidates while effectively supporting Hiring Managers. In this role, you will primarily handle the administrative aspects of recruitment, including posting job advertisements, revising job descriptions and promotional materials, scheduling interviews, and engaging with candidates through safeguarding interviews. Additionally, you will partner with the HR team to ensure that all pre-employment verifications are completed and necessary documentation is prepared.

As this position is vital to fulfilling the needs of our community, it will require you to work on-site five days a week.

Given the demands of the organization, we may conduct interviews with qualified candidates prior to the official closing date. This position may also be closed early if a significant number of applications are received.

Key Responsibilities:
  • Posting job advertisements accurately and promptly across various platforms, including the organization's career site, online job boards, and local media;
  • Assisting Hiring Managers in screening applications against established criteria and conducting initial screening interviews as necessary;
  • Coordinating and arranging interviews with candidates, Hiring Managers, and other recruitment team members, which may involve creating complex interview schedules;
  • Utilizing design software to create and modify job descriptions and promotional materials;
  • Supporting the recruitment team with targeted candidate searches on professional networking platforms;
  • Participating in the interview process, which typically includes conducting safeguarding interviews, verifying identification documents, and assessing candidates' educational and employment backgrounds;
  • Reviewing employment history forms completed by other recruitment team members during interviews, ensuring timely communication of all necessary information to the HR team to expedite the pre-employment verification process while adhering to data protection standards;
  • Extending offers to candidates and notifying unsuccessful applicants, preferably via phone, while providing constructive feedback and prioritizing the candidate experience;
  • Maintaining the recruitment software system, ensuring all information is current and accurate, including timely responses to applications, updating job templates, and processing candidates in accordance with organizational procedures;
  • Keeping the Vacancy tracker updated with relevant information;
  • Compiling statistics related to recruitment activities and sharing insights with the HR team;
  • Addressing inquiries and directing individuals to appropriate resources;
  • Collaborating with the HR team to:
  • Generate offer letters and necessary documentation for candidates, ensuring their details are recorded in the HR system;
  • Conduct recruitment checks for successful candidates and document these in the central register;
  • Assist in onboarding new hires by coordinating with payroll, IT, security, and other internal stakeholders to ensure a smooth transition;
  • Supporting the HR team with additional tasks as needed to ensure the efficient operation of the department;
  • Demonstrating a strong commitment to safeguarding and promoting the welfare of children, including completing required training and staying informed about safeguarding updates;
  • Adhering to all organizational and legal requirements regarding the handling of confidential and sensitive information;
  • Promoting equality, diversity, and inclusion within the workplace.

Ideal Candidate:

To excel in this role, you will need:

  • Prior experience in a fast-paced administrative role with the ability to manage multiple priorities;
  • Proficiency in Microsoft Word, Outlook, and Excel;
  • Strong communication skills, both written and verbal;
  • A keen interest in leveraging technology for recruitment purposes;
  • Familiarity with Applicant Tracking Systems is advantageous;
  • Experience with design software, particularly InDesign, is beneficial;
  • Previous experience in a recruitment or HR environment is highly desirable.
