Job Description

An exciting opportunity has arisen in our Front of House Team at Hymans Robertson LLP on a fixed term basis. This is a chance to be part of a small team providing a high quality, professional reception and catering service to clients and staff.

Key Responsibilities:

  • To be the first point of contact, meeting and greeting all clients and staff in a professional manner.
  • To answer calls politely, quickly and efficiently using Microsoft Teams.
  • To ensure contractors and visitors sign in and out using our online visitor management system.
  • To maintain the meeting room diaries using Outlook.
  • To book and record all taxi bookings.
  • To record and handle all incoming and outgoing couriers.
  • To prepare tea and coffee and order lunches when required.
  • To monitor meeting rooms, setting up and clearing rooms for lunches, meetings and events.
  • To ensure kitchen areas are clean and tidy and have sufficient stock.
  • To ensure an efficient catering service for additional events.
  • To manage the delivery of all goods.
  • To manage internal support calls.
  • To perform other ad hoc administrative duties such as invoice processing, carrying out internal audits and carbon reporting.
  • To assist the Facilities Co-ordinator and Senior Facilities Manager on any other ad-hoc duties.

Health and Safety:

  • To ensure that all areas of responsibility comply with our internal policies.
  • To ensure all catering facilities adhere to food hygiene and H&S standards, training provided.
  • To ensure the Senior Facilities Manager is aware of all contractors who may be onsite.

Requirements:

  • Ability to communicate at all levels.
  • Strong efficiency and punctuality.
  • Confident and polite telephone manner.
  • A working knowledge of Microsoft Office.
  • Previous experience in a customer-facing role would be advantageous.
  • Excellent communication skills, both verbally and written.
  • Exceptional organisation and time management skills.
  • Excellent team working skills, with the ability to work on own initiative.
  • Ability to work independently and collaboratively as a team.
