Job Purpose

The primary objective of this role is to deliver extensive administrative support and management for research initiatives, offering guidance and process advice to Project Coordinators and Principal Investigators throughout the institution, while promoting a robust customer service ethos.

This position serves as the principal liaison between College personnel and the University Services Research Support Office, ensuring clarity in administrative requirements and resolving issues to facilitate effective research management for Principal Investigators.

Additionally, the role includes providing administrative assistance to the College Research Office.

Main Duties and Responsibilities
  1. Deliver a high-quality and efficient administrative service for research management support, utilizing initiative and judgment to prioritize, plan, and oversee administrative tasks, ensuring a proactive approach to varying service demands.

  2. Assist Project Coordinators and Principal Investigators with pre-award and post-award activities, which may involve:

    • Supporting the preparation of funding proposals by generating precise cost estimates, gathering, and uploading necessary documentation.
    • Monitoring post-award spending against budgets and advising on the resolution of project and financial inquiries, alerting Principal Investigators and Project Coordinators to potential issues, and collaborating with the University Services Research Support Office to maximize fund claims.
    • Implementing project modifications, such as staff changes and budget adjustments, ensuring compliance with budgetary constraints and funder regulations, and updating University systems as needed.
    • Generating exception reports from the research system to identify and address issues, escalating complex problems to the Project Coordinator for further review.
    • Supporting recruitment efforts for Project Coordinators and Principal Investigators in accordance with institutional procedures and project management protocols.
    • Facilitating application outcomes and reconciling awards from funders, ensuring accurate updates to the system.
  3. Contribute to the provision and analysis of data for the College Research Support Office, Principal Investigators, and Budget Holders.

  4. Assist in the development, testing, and implementation of systems and procedures aimed at enhancing the performance of the College Research Support Office.

  5. Maintain the integrity of relevant project data within University systems.

  6. Support ad hoc projects and undertake other relevant duties as required within the Research Support Service.

  7. Engage in ongoing professional development activities.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

  • A demonstrated ability to fulfill the competencies required for this position, having acquired the necessary knowledge and skills in a comparable role.
  • Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent.
  • Comprehensive knowledge of data management and manipulation in spreadsheets.
  • Understanding of financial processes and systems.
  • Awareness of administrative and support services.

Desirable:

  • Familiarity with research administration in Higher Education.
  • Knowledge of funding application procedures and funder guidelines.

Skills

Essential:

  • Proven interpersonal and communication abilities, both written and verbal.
  • Effective planning, organization, and prioritization skills, with the ability to adapt to changing priorities.
  • Strong analytical and problem-solving capabilities.
  • Exceptional attention to detail and proficiency in numerical and data accuracy.
  • Robust IT skills, including proficiency in Excel, Word, and networked systems.

Experience

Essential:

  • Experience in relevant research administration or a similar role.
  • Experience in processing, manipulating, and analyzing data.
  • Experience with financial and/or costing systems or in a related role.
  • Experience in delivering a customer-focused service.
  • Experience in building and maintaining professional relationships across an organization.

Desirable:

  • Experience in a Higher Education environment.
  • Experience with research administration processes and funders.
  • Experience in monitoring and interpreting budgets, with support from specialists.
  • Understanding of Full Economic costing.
  • Experience with Agresso or similar financial systems.
Terms and Conditions

Salary will be at Grade 5, within the range of £25,138 - £29,605 per annum.

This position is full-time (35 hours per week) and permanent.
