Project Coordinator Role
The Accounting for International Development team is seeking a highly skilled and organized Project Coordinator to support the full life cycle of international development projects. As a key member of the team, you will work closely with project managers, partners, and clients to ensure the successful delivery of projects.
Key Responsibilities
- Assist in proposal and tender submission, including preparing project budgets and schedules, and liaising with prospective staff to ensure timely submission.
- Ensure contracts are aligned with proposals, and all terms agreed are in the organization's best interests.
- Plan project fieldwork, including agreeing dates with beneficiaries, liaising with internal and external staff, and ensuring all parties have necessary information for smooth project execution.
- Draw up contracts between our organization and subcontracted firms.
- Monitor and track project progress, ensuring stakeholders are informed of developments and deadlines are met.
- Act as the primary point of contact for stakeholders, including clients, beneficiaries, internal and external teams, and management.
- Assist in finalizing reports and delivering the final product to clients.
- Monitor internal staff working hours and expenses to ensure project budgets are adhered to.
- Check and process external suppliers' invoices, ensuring all days worked and expenses incurred are within the agreed budget.
- Assist in client billing, ensuring all bills issued are in line with contractual terms and costs are accounted for.
- Create and maintain comprehensive project documentation for future use.
- Carry out required client onboarding procedures and compliance checks.
- General: translate documents, maintain filing systems, assist with training new project coordinators, and archive files when necessary.
