Established in 2017, our firm has expanded its team and clientele, reaching clients globally. We are currently seeking a Finance and Administration Associate to enhance our dynamic team as we continue to evolve. More information about our firm can be found on our website.

About Us:
Our team consists of over 12 legal professionals and advisors, alongside international consultants. We are driven, enthusiastic, and passionate about our work and each other. While our headquarters is located in London, a significant portion of our team operates remotely, making us a hybrid organization. We prioritize team bonding through various events and retreats throughout the year. Our firm is predominantly female-led and has steadily grown since its inception.

About You:
The ideal candidate will be highly organized, detail-oriented, a quick learner, and passionate about their role. You should be eager to learn and assist the company in implementing new systems and processes as we expand.

  • You should be able to work independently, manage your own time and tasks, while also being a supportive team player.
  • Residency in the UK is required, and if you choose to work remotely, you must have a secure and suitable home office setup.

Key Responsibilities:
Your duties will vary based on team needs, with an approximate 50/50 division between financial and administrative tasks. You will collaborate closely with the Executive Assistant to the Company Founder and other team members, providing necessary support.

Financial Responsibilities:
- Bookkeeping using Xero accounting software, including invoicing, payment recording, and overdue payment monitoring.
- Management of the company’s bank account, along with basic budgeting and forecasting.
- Generation of financial reports.
- Oversight of expenses, including team and client disbursements.
- Liaison with external accountants for payroll, VAT returns, and other financial obligations.
- Implementation of efficient systems and processes for automation.

Administrative Responsibilities:
- Conduct basic administrative tasks such as email management, office supply procurement, and client communication support.
- Administration of compliance tasks, including 'Know Your Client' information and Anti-Money Laundering software usage.
- Minute-taking during meetings, with follow-up action generation.
- Management of consultant contracts.
- Document proofreading, formatting, and editing.

Experience, Attributes & Skills Required:
You must possess:
- High proficiency in Microsoft Office 365, including OneDrive, Excel, and Word.
- Experience with Xero accounting software.
- Strong written and verbal communication skills.
- A solid understanding of bookkeeping and accounting principles for a UK Limited Company.
- GCSEs (or equivalent) in Mathematics and English.
- Fluency in English.

Preferred Qualifications:
- Qualifications or approximately 2 years of experience in a finance or financial administration role.
- Proficiency in additional languages.
- Interest in the legal, arts, heritage, or cultural sectors.

This position offers flexibility for remote work or office attendance, along with the option for a flexible schedule, including a 4-day workweek (salary adjusted pro rata). The role is aimed at junior-level candidates with an expectation of approximately 2 years of relevant experience or qualifications, with potential for career advancement into a more senior finance position as the company grows.

Working Hours: Full-time or 4-day week options available (salary adjusted pro rata).

Salary Range: £23,000 - £25,000 based on experience, plus benefits, including Private Medical Insurance and discounts for cultural events.

Holiday Entitlement: 25 days of annual leave plus bank holidays (full-time entitlement).

Requirements: Right to work in the UK without sponsorship and UK residency.

Application Process:
Please submit a CV and cover letter. Your cover letter should address three questions: What do you enjoy most about working in Finance and Administration? Why are you interested in this role at Canvas? What distinguishes you from other candidates?
