Property Legal Secretary Job Description

We are seeking an experienced Property Legal Secretary to join our busy property department at JS Legal Recruitment Ltd.

Key Responsibilities:
  • Provide secretarial support to the property fee earner, ensuring seamless communication and efficient workflow.
  • Screen incoming calls and respond to client inquiries in a professional and courteous manner.
  • Process new business opportunities, utilizing digital dictation and audio typing skills to maintain accuracy and efficiency.
  • Manage diaries, book rooms, and arrange meetings, ensuring seamless coordination with clients, solicitors, and other stakeholders.
  • Utilize case management systems to maintain accurate records and ensure compliance with regulatory requirements.
  • Liaise with clients, solicitors, estate agents, and mortgage lenders to provide exceptional customer service and support.
  • Prepare quotations, send client care letters, and respond to client queries in a timely and professional manner.
  • Assist fee earners in maintaining client accounts, ensuring accuracy and attention to detail.
  • Provide guidance and support to junior and temporary secretaries, promoting a culture of excellence and teamwork.
Requirements:
  • Recent Residential or Commercial Property legal secretarial experience is essential.
  • Fast and accurate audio typing skills, including digital dictation, are required.
  • Experience with Microsoft Office, Word, Outlook, and Excel is necessary.
  • Able to prioritize and multitask, with excellent telephone manner and communication skills.
  • Possess the ability to deal with client queries when fee earners are out of the office.
