Job Title: Service Administration Manager

Location: Glasgow

Salary: £29,000.00 per annum

Hours: 40 hours a week

About the Role:

We are seeking a reliable Service Administration Manager to work across our internal business divisions, dealing with all administrative duties. This new role will see the successful candidate join our service support team during an exciting period of growth and will be an integral part of the senior service desk management team moving forward.

Key Responsibilities:

  1. Invoicing: Manage and process invoices in a timely and accurate manner.
  2. Parts Management: Oversee the management of spare parts, ensuring that stock levels are maintained and that parts are ordered and delivered as required.
  3. Outstanding Work Orders: Monitor and manage outstanding work orders, ensuring that they are completed in a timely and efficient manner.
  4. PPM: Manage and maintain our Planned Preventative Maintenance (PPM) schedules, ensuring that all necessary maintenance is carried out in a timely and efficient manner.
  5. Contract Works/Quotes and Contract Specific Administration Roles: Manage and administer all contract-related activities, including the preparation and submission of quotes and tenders.
  6. Work alongside Operational Management Teams: Collaborate with operational management teams to ensure that all administrative tasks are completed in a timely and efficient manner.
  7. Manage the Administrative Functions Associated with FM Service Accounts: Oversee the management of all administrative functions associated with our FM service accounts, including invoicing, parts management, and outstanding work orders.

Requirements:

  1. At least 2 years of experience in management and administration: Proven experience in managing and administering teams and processes.
  2. Invoicing experience mandatory: Experience in managing and processing invoices in a timely and accurate manner.
  3. Proven experience as a service desk manager: Proven experience in managing and leading service desk teams.
  4. Outstanding communication and interpersonal abilities: Excellent communication and interpersonal skills, with the ability to work effectively with colleagues and stakeholders.
  5. Excellent organisational skills: Excellent organisational skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
  6. Excellent knowledge of MS Office and office management software: Proficient in the use of MS Office and office management software, including Excel, Word, and Outlook.
  7. High attention to detail and work with a high degree of accuracy: High attention to detail and ability to work with a high degree of accuracy, with a focus on delivering high-quality results.
