An exciting opportunity has emerged within our operations team, and we are seeking a motivated and detail-oriented individual to join us.

We host a range of events, from large international summits to specialized industry seminars, ensuring a dynamic and engaging work environment.

The ideal candidate will possess prior experience in the events sector and reside in proximity to our office.

While there is flexibility for hybrid work arrangements during peak periods, the candidate is expected to be present in the office regularly.

This pivotal role is essential for the successful execution of our events.

The specialist will be part of the conference logistics and administration team, reporting to the department head, while also collaborating with our production and marketing teams.

The responsibilities include:

  • Coordinating logistics for a variety of high-profile events throughout the year, ranging from intimate one-day conferences to extensive multi-day summits.
  • Maintaining effective communication with confirmed speakers, sponsors, and event partners, ensuring all key stakeholders are informed about arrangements.
  • Updating all logistics and administrative documents related to conferences.
  • Creating informational packs for speakers and sponsors, along with other conference materials, including presentations.
  • Overseeing delegate registration, welcoming speakers and partners, managing audio-visual needs, venue coordination, and overall event supervision on the day.
  • Conducting analysis of evaluation forms and compiling GDPR-compliant attendee lists post-event.

There is potential for growth and advancement for the right candidate.

Essential skills include:

  • Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel).
  • Ability to manage high volumes of work across multiple events simultaneously.
  • 2-3 years of experience in the events industry or a fast-paced project coordination role is advantageous, though comprehensive training will be provided.
