Job Summary

We are seeking a highly organized and detail-oriented Document Intake Specialist to join our team at Owen Reed. As a key member of our Document Centre, you will be responsible for ensuring the smooth intake of work from our Corporate clients in the London office.

Key Responsibilities

  • Document Intake and Processing: Efficiently receive, review, and process documents from clients, ensuring timely completion and high-quality results.
  • Workflow Management: Identify and prioritize work suitable for our Quick Turn function, completing tasks within the 1-hour estimate timeframe.
  • Client Communication: Provide excellent technical support and troubleshooting services to clients, responding to queries and resolving issues in a professional and timely manner.
  • Collaboration and Teamwork: Liaise closely with Document Production and departmental contacts to filter requests, utilizing a working knowledge of current Document Production practices.
  • Quality Control: Perform quality control measures on work produced, ensuring adherence to company standards and client expectations.
  • Project Management: Manage and prioritize assigned projects to ensure deadlines and expectations are met, acquiring and maintaining an in-depth working knowledge of client business needs.
  • Professional Development: Participate in company-offered training and development programs to upgrade work skills and stay abreast of technology changes relevant to this role.

Requirements

  • Experience: Proven experience in administering and managing workflow and workloads within a legal or professional services environment.
  • Customer Service Skills: Excellent customer service skills, with the ability to relay information clearly and concisely, take ownership of client needs, and remain professional under pressure.
  • Document Production Experience: Previous experience in document production in a professional services environment, with a strong working knowledge of document production practices and technologies.
  • Troubleshooting and Communication Skills: Ability to troubleshoot tasks and documents, communicate solutions effectively, and share knowledge when appropriate.
