Position Overview

The role is essential in supporting the delivery of healthcare services to the community by providing a confidential and thorough administrative support system to the medical professionals and their associated teams.

Key Responsibilities

- Perform routine and audio typing of medical documentation.

Proficiency in the Welsh language is preferred; however, applications are welcome from both Welsh and English speakers.

Job Duties

- Engage with clinicians, patients, nursing staff, management, and administrative personnel.

- Serve as the initial point of contact for the medical team.

- Address inquiries from patients and their families with sensitivity and confidentiality.

- Collaborate effectively with various internal departments, including wards and medical records.

- Coordinate with external entities such as general practices and social services as necessary.

- Maintain effective communication with medical, nursing, and administrative colleagues at all levels.

- Possess RSA III or equivalent qualifications.

- ECDL certification is advantageous.

- Demonstrate proficiency in audio typing equipment.

- Have a solid understanding of medical terminology.

- Exhibit strong skills in office software applications (word processing, spreadsheets, databases, email, and presentations).

- Display excellent communication and telephone skills, capable of interacting with staff across all levels.

- Ensure that patient complaints are addressed appropriately, referring them to the relevant department when necessary.

- Make informed decisions based on ongoing situations, including rescheduling appointments and addressing service user queries.

- Assist with additional responsibilities such as research, audits, or managerial tasks as required.

- Set up templates for database research related to audits.

- Coordinate patient pathways effectively.

- Notify relevant departments of planned leave for medical staff, including managing clinic cancellations.

- Handle patient case notes securely and efficiently using the appropriate systems.

- File documents in accordance with health board procedures, addressing urgent investigation results promptly.

- Provide general non-clinical guidance to patients regarding their assessments and admissions.

- Adhere to health board policies regarding the secure storage of confidential information.

- Implement administrative policies within the department.

- Maintain adequate supplies of office materials, participating in ordering processes.

- Manage patient donations in accordance with health board policy when required.

- Assist in training new staff on technology and administrative practices as appropriate.

- Supervise and train assistant medical secretaries as needed.

- Cover for absent medical secretary colleagues when necessary.

- Support junior medical staff during their orientation, providing guidance on health board and departmental procedures.
