Job Title: Facilities Coordinator

Job Summary: We are seeking a highly motivated and organized Facilities Coordinator to join our team in Uddingston. The successful candidate will be responsible for providing operational delivery of all Facility Management services, ensuring seamless execution and exceeding client satisfaction.

Key Responsibilities:

  • Deliver all FM Operations SLA's in accordance with KPI & Output measurements, ensuring timely and efficient execution.
  • Coordinate with FM Operations and Critical Service teams to deliver service level agreements, fostering strong relationships and effective communication.
  • Support and monitor 3rd party maintenance supplier activities, reporting any corrective works arising and ensuring compliance with HSE requirements.
  • Act as a part of site Emergency team, including Fire Marshall duties, and report all accidents, occupational illnesses, and emergencies in relevant documentation.
  • Ensure all contractors operate within appropriate SHE processes and client HSE standards, maintaining a safe and healthy work environment.
  • Conduct monthly self-assessment SLA checks, supporting quarterly contract performance requirements and ensuring continuous improvement.
  • Take ownership of site image and visual standards, addressing any issues or concerns and maintaining a professional appearance.
  • Perform Mail Room activities, including receipt, sorting, and distributing incoming and outgoing post, maintaining a tidy and organized workspace.
  • Monitor and maintain stationery levels, ensuring adequate supplies and minimizing waste.
  • Deliver goods received to the correct destination or person, coordinating site waste and recycling arrangements.
  • Carry out statutory fire testing and associated checks, ensuring compliance with regulatory requirements.
  • Coordinate with Security and report any faults on access entry systems, maintaining a secure and controlled environment.
  • Raise Purchase Orders for goods or services, ensuring compliance with business controls and procedures.
  • Approve invoices, goods received notes, and statements for payment purposes, maintaining accurate financial records.
  • Act as a responsible person in line with DFA, carrying out cost control functions and ensuring effective budget management.
  • Take ownership of customer requirements, demonstrating the ability to close out concerns and ensure customer satisfaction.
  • Act as deputy in the absence of line management, providing cover for the FM team as defined by line management.

Requirements:

  • Strong PC skills, including proficiency in MS Office.
  • Self-motivated and resourceful, with good administrative skills and well-organized prioritization and planning abilities.
  • Service-oriented attitude combined with innovative thinking, knowledge, and awareness of the facilities management industry.
  • Practical experience in working with supply partners to deliver a seamless, integrated service.
  • Customer services experience and the ability to communicate at all levels.
