Financial Management
Profit and Loss AccountabilityThe Operations Supervisor must guarantee that the project remains financially viable. This involves evaluating both revenue and expenses associated with the project to enhance profit margins. Continuous awareness of the current and historical profit and loss status is essential, along with a strategic plan to optimize business profitability.
Work in Progress MonitoringEffective cash flow management is crucial for business sustainability. The Operations Supervisor must ensure that the work in progress does not exceed a 40-day threshold.
Supplier Relations
The supply chain is integral to our success. The Operations Supervisor must engage with relevant stakeholders to address any issues and, when necessary, devise solutions that benefit both the organization and the suppliers involved.
Project Execution
Establish Client Objectives and Finalize Relevant AgreementsEach project will have unique objectives. The Operations Supervisor must assess client requests and the agreements made for each project. By considering factors such as resources and project constraints, the supervisor must negotiate and finalize objectives with stakeholders. Relevant agreements may need to be formalized for each work phase.
Develop Implementation PlansFollowing the agreement of objectives, the Operations Supervisor must create a comprehensive plan to achieve project goals.
Communicate Strategy to TeamOnce a plan is established, the Operations Supervisor must communicate the strategy to the team. It is recommended to facilitate an open forum for discussion, allowing team members to contribute ideas and potentially enhance the approach. Ultimately, the responsibility for decision-making rests with the Operations Supervisor.
Assess Health and Safety NeedsEvery project carries inherent risks. The Operations Supervisor must identify these risks and implement measures to mitigate them. This includes determining training needs for staff and contractors, ensuring compliance with project requirements, and monitoring that all qualifications are current. Supervision of work areas is essential to address any health and safety issues promptly. In cases of incidents, an investigation may be necessary to identify shortcomings and lessons learned, with findings reported to the relevant departments.
The health and safety team serves as a supportive resource for the Operations Supervisor in decision-making and operational oversight.
Set Performance Metrics and Provide UpdatesThe Operations Supervisor should establish performance metrics with clients for quarterly targets and ensure these targets are met. Detailed documentation of these metrics must be submitted at the beginning of each work week. Meeting weekly targets is critical, and if targets are not achieved, the Operations Supervisor must communicate the reasons to the client and outline plans for recovery.
Facilitate Client and Supplier MeetingsTo ensure smooth project execution, the Operations Supervisor should organize meetings with stakeholders and suppliers. Meeting notes and action items should be documented to address all project aspects effectively.
Support Team OperationsThe Operations Supervisor must provide support to the team in all project-related matters. When challenges arise, the supervisor should recommend effective solutions or engage with clients and senior management to expedite resolutions.
Quality Control
Address Reinstatement IssuesReinstatement issues can incur costs for the organization. The Operations Supervisor must ensure that such issues are resolved promptly and are not older than six months.
Resolve Interim IssuesInterim issues also pose financial risks. The Operations Supervisor must ensure these are addressed immediately and are not older than six months.
Tackle Candid IssuesCandid issues must be resolved within 30 days. Such issues can disrupt services and may lead to penalties or loss of contracts.
Additional Responsibilities
Daily ReportingThe Operations Supervisor must submit daily reports to management regarding field staff activities, in accordance with company procedures.
Conduct Weekly Site ChecksRegular site checks are necessary to ensure the Operations Supervisor is actively engaged in field operations at least once a week.
Ensure Team Compliance with Safety ChecksThe Operations Supervisor must ensure that team members complete a minimum of five health and safety checks each week.
Professional Conduct
Stakeholder EngagementMaintaining a positive relationship with clients is essential. Any conflicts can adversely affect project outcomes and the organization’s reputation. The Operations Supervisor must ensure that communication with stakeholders is constructive and focused on positive outcomes.
Team LeadershipThe Operations Supervisor must foster a positive work environment for the team. Identifying and addressing issues promptly is crucial, and when necessary, training should be provided to resolve these issues. If challenges persist, the supervisor should involve senior management and human resources for additional support.
All team members are entitled to annual leave, and the Operations Supervisor must ensure that such leave does not negatively impact business operations.
