In the role of Patient Services Administrator, you will be essential in facilitating the efficient functioning of our patient services division. Your tasks will encompass coordinating patient appointments, overseeing referrals, and providing essential administrative assistance. You will be a vital member of our team, aiding in the provision of top-notch healthcare services.
While having prior experience in customer service or administrative roles is advantageous (experience in the healthcare sector is a plus), comprehensive training will be provided to ensure you feel equipped and confident in your new position.
Key Responsibilities
- Deliver effective, efficient, and timely administrative support as required by the position.
- Understand the inclusions and exclusions for each Clinical Commissioning Group (CCG) area, appropriately appointing or rejecting patients.
- Schedule patient appointments and communicate with patients via letter and/or phone.
- Provide reports to referrers within agreed timelines.
- Participate in the telephone rota.
- Offer general office management and support.
- Maintain a positive and welcoming demeanor towards patients.

Job Duties
As an integral member of the patient services team, your general duties will include:
- Triage of referrals.
- Management of NHS inboxes.
- Inputting patient information into the computer system as necessary.
- Ensuring prompt and accurate registration of new patients in the system.
- Coordinating clinic bookings and sending clinic lists to relevant surgeries.
- Reporting tasks.
- Conducting daily audits of the upcoming clinic and making reminder calls.
- Addressing inquiries and telephone calls, including preparation instructions.
- Communicating reports/images through various systems.
- Reviewing the previous week weekly to prepare for month-end activities.
Professional Competencies:
- Ability to prioritize and manage a substantial workload.
- General understanding of office procedures and policies.
- Proficient in filing both alphabetically and numerically.
- Competent in using Microsoft Office applications, including Outlook, Word, and Excel.
- Familiarity with spreadsheet and email applications.
- Knowledge of regulations pertaining to medical documentation.
