Job Summary:

We are looking for a skilled professional to provide administrative and operational support for all aspects of a construction project. The ideal candidate will have strong organizational skills and a thorough understanding of construction processes.

Key Responsibilities:
  • Manage and maintain all project-related documentation, including contracts, permits, submittals, RFIs, and change orders.
  • Organize and update drawings, blueprints, and specifications, ensuring all teams have access to the latest versions.
  • Oversee the processing and tracking of contracts and other agreements with subcontractors and vendors.
  • Prepare and distribute meeting minutes, project schedules, and correspondence to relevant stakeholders.
  • Act as the primary point of contact for communication between project managers, subcontractors, and clients.
  • Assist in coordinating project meetings, ensuring accurate schedules and agendas are provided.
  • Facilitate clear and timely communication between teams to resolve issues and answer queries related to project details.
  • Assist in monitoring project budgets, tracking expenses, and verifying invoices for payment.
  • Prepare and process purchase orders, change orders, and payment applications, ensuring all financial records are accurate.
  • Liaise with accounting teams to ensure timely payments to contractors and suppliers.
  • Assist with cost tracking and reporting to ensure the project stays within budget.
Requirements:
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and construction management software.
  • Excellent communication and organizational skills, with the ability to manage multiple tasks simultaneously.
