Position: Commercial Landscape Operations Manager

  • Collaborate closely with the executive team, including Managing Directors and Accounts Managers, to foster a safe and productive workplace.
  • Serve as a key member of the upper management team, contributing to strategic decision-making alongside Company Directors.
  • Oversee the operations and administrative functions of the Commercial Department.
  • Manage the company’s commercial processes by coordinating with Project Co-Ordinators and maintaining effective communication with Project Managers and Site Managers to ensure timely and high-quality project delivery.
  • Facilitate clear and effective communication to ensure the safe and efficient execution of projects.
  • Work alongside Project Managers and the Accounts Manager to analyze project costs, aiming for reliable and profitable revenue generation while preparing financial forecasts.
  • Lead the pricing process for valuations and variations, ensuring accurate invoicing through collaboration with the Accounts Manager and Project Managers.
  • Review and endorse Risk Assessments and Method Statements (RAMS) to uphold safety standards.
  • Collaborate with Company Directors and external consultants to develop and implement policies related to Health and Safety, Corporate Responsibility, Environmental Practices, Equal Opportunities, and Anti-Fraud & Bribery.
  • Partner with the Quality Management Team to establish and uphold the company’s quality assurance policies.
  • Participate in project progress meetings, ensuring that minutes are documented and shared with relevant team members.
  • Engage in pricing and negotiating contracts during the tendering process.
  • Coordinate with external web support to keep the company website updated.
  • Work closely with Project Managers to develop project timelines and inform the Accounts Manager about project statuses for effective cash flow management.
  • Maintain positive communication with client representatives to ensure services meet their expectations.
  • Process data from Site Engineers or Project Managers to generate client valuations and manage disputes regarding invoices.
  • Verify subcontractor valuations and oversee the payment process, ensuring accuracy and compliance.
  • Supervise and validate surveys conducted by Site Engineers and Project Managers.
  • Assess changes in project scope since the tender stage to identify potential variations, instructing Site Engineers and Project Managers to document these changes for client approval.
  • Act as the primary purchaser for the company, issuing purchase orders and guiding others in their use.
  • Direct the process of obtaining quotes and specifications from suppliers, ensuring client approval before facilitating communication regarding payments and logistics.
  • Manage the procurement process, ensuring that subcontractor competency questionnaires are completed prior to engagement.
  • Evaluate subcontractor performance post-completion to inform future hiring decisions.
  • Authorize supplier invoices monthly, providing explanations for any discrepancies to the Accounts Manager.
  • Ensure accurate completion of Pre-Qualification Questionnaires (PQQs), delegating tasks to Project Co-Ordinators as necessary.
  • Engage in negotiations with clients regarding contract terms before project commencement.
  • Compile and submit client quotations by specified deadlines, or communicate non-participation in tendering.
  • Instruct site engineers and Document Controllers to gather measurements for valuations and variations.
  • Collaborate with the Accounts Manager and Quality Management team to maintain data integrity and respond to information requests.
  • Utilize feedback to guide discussions with upper management on process improvements, ensuring a focus on customer satisfaction.
  • Document new projects for the company portfolio and coordinate with third-party web developers for updates.
  • Lead staff appraisal processes in conjunction with the Accounts Manager, reporting to Managing Directors.
  • Determine wage caps for site operatives in collaboration with upper management, overseeing all adjustments.
  • Authorize staff leave requests, ensuring adequate staffing levels.
  • Review and approve staff expense claims.
  • Make final decisions on hiring site operatives and salary adjustments, collaborating with upper management on office staff and Project Manager recruitment.
  • Adhere to the grievance process as outlined in the staff handbook as a senior management member.
  • Address disciplinary matters involving site operatives in coordination with the Office Manager and Project Managers, following established procedures.
  • Identify training needs and qualifications for staff in collaboration with upper management, ensuring compliance with health and safety requirements.
  • Continuously promote a positive work environment to support the well-being of all staff and maintain a strong organizational culture.
