Job Summary:

As an Accounts Payable Assistant, you will play a key role in supporting the accounts payable function for the EMEA region, ensuring timely and accurate processing of invoices, expense claims, and payments.

Key Responsibilities:

  • Expense Management: Review and process expense claims in Emburse, ensuring compliance with specified criteria and verification checks.
  • Invoice Processing: Review and process chargeable and non-chargeable invoices in Emburse, completing any required information for accurate processing.
  • Query Handling: Provide support and liaison with the finance team on queries, outstanding bank reconciliation items, recharge queries, and other accounts payable matters.
  • Service Desk: Liaise with the Chrome River service desk and regional office finance to resolve invoice fails or rejections, escalating to the Team Lead or Service Manager as required.
  • Automatic Payments: Prepare payment runs in SAP using pre-defined criteria, making adjustments as required by finance teams, and processing the payment run in SAP once approved.
  • Disbursements and Recharges: Manage the upload processes for regional offices, receiving data for recharges, ensuring corresponding invoices are processed, reformating data for uploads, managing exception items, and resolving Revenue Controllers' queries.

Requirements:

  • Problem-Solving: Follow defined standard operating procedures while exercising good judgment and decision-making when presented with anomalies and non-standard requests, using appropriate escalations to resolve issues promptly.

  • Communication: Possess excellent interpersonal skills, able to communicate professionally and approachably at all levels, both verbally and in writing.
  • Technical Skills: Proficient in Microsoft Office suite (Excel, Word, and Outlook), with a working knowledge of a finance function, experience in accounts payable, and knowledge of SAP, Emburse, or other invoice/expense workflow solutions.
