Job Title: Technical Team Coordinator

We are seeking a highly organized and detail-oriented Technical Team Coordinator to join our team at Val Wade Recruitment. As a Technical Team Coordinator, you will play a crucial role in supporting our technical specialists and communicating with architectural project leaders.

Key Responsibilities:
  • Manage team diaries and set up meetings to ensure seamless communication
  • Manage inbox and respond to queries in a timely manner
  • Act as the first point of contact for the technical team, providing administrative support and guidance
  • Organize Design Risk Management review meetings and Technical Team inductions
  • Arrange peer reviews, gather relevant information, and maintain records
  • Coordinate meetings, set agendas, and distribute minutes
  • Record supplier information checks and ensure compliance with finance requirements
  • Liaise with the Finance department and budget holder to issue questionnaires and check responses
  • Upload useful articles to the intranet to ensure strong visibility
  • Compile and track the department's budget
  • Provide administrative support for expenses claims and timesheets
  • Check that suppliers are fully compliant with finance requirements
  • Maintain the Carbon dashboard for the practice
  • Ensure all sub-contractors are approved by legal and finance
  • Aid in the team's formal development process, timetabling, and advertising speakers
  • Help manage holidays and absence
  • Arrange couriers, travel, hotels, car hire, trains, visas, and insurance for domestic and overseas travel
  • Coordinate team socials
Requirements:
  • Motivated and enthusiastic individual with a calm and helpful personality
  • Ability to communicate at all levels
  • Proven team support experience
  • Strong organizational skills
  • Excellent IT skills, including advanced knowledge of Microsoft packages (Outlook, Word, Excel, PowerPoint) and Adobe InDesign and Photoshop
  • Fast and accurate touch typing (minimum speed 60wpm)
