We are currently seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant. As a key member of our office staff, you will be responsible for supporting the Office Manager in the daily operations of our business. This will involve a range of tasks related to property maintenance, tenant inquiries, and office administration.

Key Responsibilities:

  • Provide administrative support to the Office Manager, ensuring the smooth day-to-day operation of the office.
  • Maintain accurate and up-to-date records and filing systems for properties and tenancies.
  • Act as a liaison between tenants and the office, handling day-to-day queries and concerns.
  • Coordinate with contractors and obtain quotes for repairs and maintenance.
  • Schedule and manage contractor diaries, ensuring timely completion of tasks and tracking expenses.
  • Arrange safety certificates and handle new tenant Council Tax and Utilities accounts.
  • Manage meter readings at the start of new tenancies and maintain records on Excel.
  • Produce and maintain records of conditions for ingoing tenants and dilapidation schedules for outgoing tenants.
  • Liaise with tenants to arrange routine property inspections and maintain the inspection diary.
  • Ensure the key cupboard and office environment are well-maintained and organized.

Office Administration:

  • Prepare, edit, and format documents, including contracts, property listings, and reports.
  • Ensure all paperwork is completed accurately and filed in a timely manner.
  • Create and update spreadsheets to track office activities and performance.
  • Handle general office duties, including opening mail and responding to correspondence.

Requirements:

  • Proven experience as an administrative assistant or in a similar role.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Good IT proficiency in MS Office (Word, Excel, Outlook) and basic database management.
  • Strong attention to detail and accuracy.
  • Ability to use initiative and manage time effectively.
