Job Summary

We are seeking a highly organized and detail-oriented Booking and Scheduling Clerk to join our team at the Liverpool Women's NHS Foundation Trust. As a key member of our team, you will be responsible for coordinating and scheduling patient appointments, ensuring efficient use of resources and meeting Infertility Referral to Treatment (RTT) targets.

Main Responsibilities
  • Undertake booking and scheduling of all patient clinic appointments within the Hewitt Fertility Centre
  • Communicate appointment information to patients via the most appropriate method
  • Oversee scheduling and booking appointment service for patients and clinicians
  • Ensure accurate and timely data collection
  • Advising the Operational management team on capacity issues and suggest ways to address them
  • Register all NHS patients and prepare patient files
  • Distribute or file patient information as required
  • Maintain the Hewitt Centre's case note filing system
  • Timely and accurate cancellation of clinics and re-scheduling of appointments
Requirements
  • Understanding of confidentiality, Data Protection and Caldicott principles
  • Extensive knowledge of NHS waiting lists and pathway management requirements and procedures
  • Excellent level of numeracy and literacy skills
  • Ability to communicate clearly in verbal and written communications
  • Good keyboard and PC skills
  • Working knowledge of Microsoft Office packages Outlook, Word, Excel
  • Organized and methodical with an attention to detail
  • Ability to analyze information and report to others in a meaningful way
  • Able to maintain accuracy to high standards
  • Ability to make best use of time and resources
  • Excellent telephone manner
  • Understanding of change and project management processes
  • Ability to recognize and resolve complex issues
  • Confidence in dealing with people at all levels
  • Understanding of quality and diversity
Qualifications and Experience
  • Educated to Diploma/Certificate level/NVQ4 or equivalent experience in addition to GSCE or equivalent English and Mathematics
  • European Computer Driving Licence (ECDL) qualification
  • Hold or currently working towards a professional qualification in leadership at diploma or Certificate level
  • At least 3 years' experience of working in a Patient Contact Centre Environment in the NHS or other healthcare provider
  • Supervisory experience of at least 1 year providing day-to-day supervision of a team of staff
  • Experience of staff management including sickness absence management, appraisal/personal development reviews
  • Experience of undertaking recruitment and selection
  • Experience of developing policies and task-specific standard operating procedures
  • Ability to resolve conflict and complaints at source
  • Experience of providing a service to Private Patients
