Position Overview

The Events Coordinator will be responsible for preparing all event-related documentation and collaborating with the onsite team and clients to ensure a consistent, high-quality service throughout every phase of the event. All tasks performed should align with industry standards and legal regulations.

Key Responsibilities

Duties include:

  • Responding to inquiries from agents and clients promptly and professionally.
  • Documenting all objectives and planned activities for managed accounts in an account development plan, ensuring information is consistently updated.
  • Drafting contracts and maximizing conversion rates for all secured business.
  • Conducting site visits for existing bookings and potential clients in a timely and professional manner.
  • Meeting established monthly performance targets, including appointments, account management calls, client meetings, and revenue goals as set by management.
  • Collaborating effectively during the RFP process to ensure timely completion of rate loading.
  • Providing clients with a detailed event order prior to their event.
  • Producing and distributing weekly updates listing upcoming events.
  • Gathering feedback from clients during and after events, addressing any disputes or complaints professionally and within established guidelines.
  • Adhering to accounting procedures, obtaining prepayments, reconciling, and verifying final invoices before sending them to clients.
  • Updating and maintaining sales contact lists and account information.
  • Participating in and assisting with in-house marketing initiatives, familiarization trips, client hospitality events, presentations, and promotional activities.
  • Supporting office administration by ensuring all accounts have the necessary documentation, contracts, and up-to-date account development plans.
  • Collaborating closely with the sales network to contribute to the overall sales targets for the hotel on a monthly basis or as needed.
  • Utilizing systems such as Opera, ANAIS, and Lanyon.

  • Delivering efficient, friendly, and professional service to all guests.
  • Leading by example in addressing guest requests, striving for total customer satisfaction.
  • Taking initiative to ensure positive and productive interactions with all customers.
  • Fostering a collaborative environment where colleagues and management work together to achieve departmental and hotel goals.
