Job Summary:

We are seeking a highly organized and customer-focused Receptionist to join our team at CITB National Construction College. As the first point of contact for visitors and contractors, you will provide exceptional customer service, manage room bookings, and support the Centre Manager with administrative tasks.

Key Responsibilities:

  • Welcome visitors to the site, ensure they receive the site induction, and hand them over to the relevant member of staff.
  • Manage shared mailboxes, answer phone calls, handle enquiries, and direct calls appropriately.
  • Receive deliveries to site, sort and distribute incoming mail, and process outgoing mail.
  • Coordinate with the Centre Manager on administration tasks and low-value purchasing.
  • Assist and coordinate in the management of procuring stationery, PPE, training, and facilities materials.
  • Utilize CHIP to create delegate lists and the training register.
  • Provide an instant response in accordance with set procedures for all emergencies.
  • Manage meeting rooms and hot desks, prepare reports on room usage for the estate team, and ensure efficient allocation of resources.
  • Assist with registration of attendance of incoming learners to the centre.
  • Control and monitor access passes by creating, distributing, and recording access control passes and lanyards.

Requirements:

  • Experience of working in a similar customer-facing role.
  • Training and experience in Customer Service.
  • Proficient use of Microsoft Office, including Excel and Word.
  • Strong organizational skills.
  • Strong communication skills.
  • An understanding of facilities and procurement.
