Job Summary

We are seeking a highly skilled Service Administrator to join our team. The successful candidate will be responsible for booking in new service jobs, following up on open quotations, and raising invoices for completed jobs. The role will also involve liaising with customers, supporting the team with administrative tasks, and contributing to the growth and development of our UK-based capabilities.

Key Responsibilities
  • Booking in new service jobs in our SAP and Geeni systems
  • Checking and actioning jobs at the sales gate on Geeni
  • Following up on open quotations and processing approvals for service
  • Updating open WIP reports for invoicing purposes
  • Closing out completed jobs and creating delivery notes
  • Raising invoices for completed jobs
  • Creating service repair quotations
  • Creating service notifications
  • Liaising with customers on queries and AOG requests
  • Compiling and administering work instruction packs for the operations team
  • Generating quotations and ensuring orders are processed in a timely manner
  • Invoicing spares and service jobs
  • Ensuring deliveries are on time and escalating if there is a delay
  • Communicating with customers and other client personnel to build and maintain effective business relationships
  • Developing product knowledge and staying up-to-date with industry developments
  • Supporting the service team with administrative duties and providing holiday and absence cover as required
Requirements
  • Key skills and qualifications in administration, with a strong focus on customer service
  • SAP experience is desirable but not essential, as training will be provided
  • Excellent communication and interpersonal skills, both written and verbal
  • Strong computing skills across the Microsoft Office suite, including Excel and Word
  • Attention to detail and ability to identify anomalies in data
  • Experience working in an engineering environment is advantageous
  • Flexibility and adaptability, with the ability to work unsupervised and manage own priorities and workloads
  • Self-discipline and excellent organizational and time management skills
