Job Summary

We are seeking a highly organized and detail-oriented Legal and Compliance Administrator to join our team at Chiesi Group. As a key member of our Legal and Compliance team, you will provide administrative support, guidance, and coordination to ensure all activities are carried out in accordance with our company policies, standard operating procedures, and industry regulations.

Key Responsibilities
  • Monitor and manage the Legal and Compliance email inbox, ensuring all emails are actioned in a timely manner.
  • Facilitate and provide advice to staff regarding the contract process from start to finish.
  • Manage the contract process, issuing contracts for signature, working closely with the Procurement Department, and recording agreements and documents on relevant systems.
  • Support other members of the team as required with Overseas Agreements.
  • Support the running of the Procedural Document Governance Group, scheduling meetings, writing up minutes, and documenting action points.
  • Administer SAP for the Legal and Compliance team.
  • Assist the Legal and Compliance Department in the best use of available resources and processes to meet industry deadlines.
  • Assist the Legal and Compliance Director with diary management, tracking, and submitting expenses on Concur. Provide general administration for the team, including booking meetings, travel, and accommodation, booking courses, entering and/or renewing professional subscriptions, scheduling weekly team meetings, minute-taking, and recording action points.
  • Obtain and maintain an understanding of the company's structure and environment, its compliance requirements, policies, and procedures relevant to activities undertaken by the business.
  • Contribute and support the UK Affiliate in its pursuit to become more sustainable.
  • Oversee the Trademark Platform and keep track of trademark expiries and renewals.
  • Complete expense and email audits of the sales team, collate audit findings, and prepare draft Governance Reports for input and review by the wider team.
  • Chair the monthly Medical Donations & Grants Committee meeting, complete all due diligence, and follow-ups (including issuing approval/rejection letters via Veeva and PAYCE systems) and update the relevant tracker.
  • Daily PAYCE checks.
Requirements
  • Strong organizational skills, attention to detail, and exemplary record-keeping.
  • Proficient in all Microsoft Office programs, including Word, Outlook, Excel, and Teams.
  • Good team player with a positive attitude and a desire to support colleagues in delivering excellent customer service and experience to all internal and external stakeholders.
  • Ability to work on their own initiative, being proactive wherever possible.
  • Experience of handling a varied workload with multiple workstreams for different stakeholders and multiple deadlines.
  • Experience of working in, or a willingness to understand and work in, the pharmaceutical sector.
  • Strong skills in written and oral communication, time management, and prioritization.
