In this temporary role within the Education Welfare Department, you will offer guidance and support to Education Authority personnel, clients, the public, and other professionals as directed by the Programme Manager.
Your primary responsibility will be to deliver administrative assistance for the daily operational functions.
You should possess proficiency in Microsoft Office applications, including Excel, Outlook, and Word. A strong command of spreadsheets and databases is essential, along with the ability to perform typing and word-processing tasks efficiently.
Essential Qualifications:
- Possess the equivalent of five GCSEs at grade C or above, along with a minimum of one year of administrative experience in an office setting.
- Exhibit strong customer service abilities, complemented by excellent verbal and written communication skills.
- Demonstrate the capacity to work collaboratively within a team while also being able to operate independently.
Key Responsibilities:
- Provide comprehensive administrative support across all aspects of the programme, utilizing a full range of IT tools including word processing, databases, spreadsheets, email, and internet resources.
- Handle incoming telephone inquiries and accurately document conversations, escalating issues to the appropriate department when necessary.
- Assist in gathering factual data and statistical information from various sources to support the work of designated officers within the service.
- Prepare correspondence, meeting minutes, notes, and other clerical documentation as required by the programme manager.
- Utilize initiative, tact, and diplomacy in addressing queries and challenges that arise within the section in the absence of the programme manager.
- Manage the ordering and monitoring of office supplies and stationery for all team members, along with coordinating diary management for stakeholders.
- Ensure the maintenance of efficient recording and filing systems within the service as directed by the programme manager.
- Delegate tasks to the office team in the absence of senior management.
