We are seeking three dedicated Transport Office Administrators to join our team at Wincanton. Reporting directly to the Transport Team Manager, you will play a crucial role in overseeing the briefing and debriefing of drivers and transport support staff, ensuring adherence to company protocols. Your primary focus will be on delivering efficient services that meet operational targets on a weekly and monthly basis through effective utilization of scheduling data provided by our clients.
Shift Details: Alternate weekly shifts comprising day and night rotations from 6am to 6pm and 6pm to 6am.
Compensation: £25,834 per annum
Key Responsibilities:
- Participate in a 4 on 4 off weekly rotation of day and night shifts, operating between the hours of 6-6.
- Input daily run sheets into spreadsheets and web-based systems.
- Organize and maintain transport-related documentation.
- Perform general administrative tasks related to transport operations.
- Generate daily and weekly reports as needed.
- Brief drivers at the beginning of each shift, conveying planned requirements and sharing performance updates, company news, and procedures.
- Assist in the fleet recovery and maintenance scheduling.
- Ensure timely reporting of vehicle defects, including accidents/incidents, and coordinate with external recovery agents.
- Maintain effective communication with stores and suppliers, addressing any complaints or issues appropriately.
- Monitor vehicle and trip progress, adjusting delivery and collection plans as necessary while communicating effectively with the warehouse team.
- Complete the Day 1 report and daily operations report for shift handover.
- Ensure all reports are finalized and distributed before the end of your shift or upon request.
- Adhere to the Road Traffic Act regulations within the department.
- Ensure compliance with Health and Safety regulations among drivers.
- Conduct safety conversations and safety sweeps as directed.
- Escalate incidents and accidents as required.
Candidate Profile:
- Experience in an office environment is essential.
- Proficiency in Microsoft Office applications is required.
- Previous experience in transport operations is preferred but not mandatory.
- Ability to thrive under pressure and meet tight deadlines.
- Flexibility in working hours is necessary.
- Self-motivated with a proactive attitude.
- A collaborative team player who can also work independently.
- Ambition to grow and develop within the department and the organization.
- Strong communication skills at all levels.
