About the Role

We are seeking a highly organized and detail-oriented Examination Officer to join our team at Best Practice Network. As an Examination Officer, you will be responsible for managing the effective and efficient administration of external examinations in accordance with regulatory requirements.

Key Responsibilities
  • Ensure the centre is compliant with JCQ regulations and awarding organisation requirements to maintain the security and integrity of examinations.

  • Act as the main point of contact for the centre in matters relating to examination administration and coordination.

  • Liaise with stakeholders to ensure examination processes are strictly followed and key deadlines are met.

  • Ensure examinations are conducted in accordance with regulations and take proactive steps to prevent malpractice.

  • Coordinate the scheduling, planning, and administration of examinations, including registration of candidates and distribution of examination materials.

  • Manage the conduct of examinations in accordance with JCQ regulations and awarding organisation rules.

  • Ensure all examination activities comply with relevant legislation, regulatory standards, and best practice guidelines.

  • Conduct regular audits of examination processes and documentation to ensure compliance and continuous improvement.

  • Work with SENCO to ensure special access arrangements are correctly in place and shared with Awarding Organisations.

  • Maintain accurate records of examination entries, results, and candidate data.

  • Ensure timely and accurate reporting of examination data to internal and external stakeholders.

  • Analyse examination data to identify trends, inform decision-making, and support continuous improvement initiatives.

  • Maintain and safely store special access arrangement data in line with ESFA timescales.

  • Establish and maintain effective working relationships with learners, tutors, employers, and awarding organisations.

  • Act as the primary point of contact for queries and issues related to examinations, providing expert advice and support.

  • Coordinate communication with stakeholders regarding examination schedules, procedures, and results.

  • Identify opportunities for innovation and enhancement of examination processes and systems.

  • Promote a culture of continuous improvement within the examinations function.

  • Lead projects and initiatives aimed at improving the efficiency and effectiveness of examination delivery.

Requirements
  • Degree-level education or 3 years relevant experience.

  • Relevant professional qualifications in examination administration or education management are desirable.

  • Experience in managing examination processes, preferably within an educational or training environment.

  • Knowledge of Functional Skills qualifications and assessment requirements.

  • Experience in working with awarding organisations and understanding compliance requirements, rules and regulations.

  • Strong organisational and project management skills, with the ability to manage multiple priorities and meet deadlines.

  • Excellent communication and interpersonal skills, with the ability to build and maintain effective relationships with a range of stakeholders.

  • Analytical and problem-solving skills, with the ability to interpret data and make informed decisions.

  • High level of attention to detail and commitment to maintaining quality standards.

  • Good level of IT skills, Microsoft 365 applications.

  • Proactive and self-motivated, with a commitment to continuous improvement.

  • Adaptable and resilient, with the ability to work effectively in a dynamic and fast-paced environment.
