As an Office Administrator, you will play a crucial role in ensuring smooth operations within our organization. Your primary responsibilities will include providing exceptional customer service and facilitating a seamless purchasing experience for our clients at Smiths Business Supplies.

Key Responsibilities:
  • Deliver outstanding customer service to our clientele, ensuring a hassle-free purchasing process.
  • Handle incoming calls and address customer inquiries promptly.
  • Input orders into the Prima back-office system efficiently.
  • Offer customers detailed quotes and product information.
  • Communicate delivery details regarding customer orders.
  • Manage the setup and collection of our recycling service.
  • Continuously create and maintain contacts in the Prima system and oversee online account management.
  • Coordinate timely engineer call-outs and manage the administration of engineer jobs related to supplier invoices.
  • Engage in ongoing skill development to uphold a high level of service for our customers.
  • Disseminate marketing information to our customer base.
  • Oversee management of Proof of Delivery (POD) documents, handle faulty inquiries, returns, credits, and liaise with the Managing Director.
  • Assist Sales Consultants by providing tailored quotations for customers.
  • Enhance existing accounts to maximize their purchasing potential from Smiths Business Supplies.

Qualifications:
Minimum of 2 years of experience in an administrative capacity, ideally within a related industry.

Required Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Capability to work autonomously as well as collaboratively.
  • Meticulous attention to detail and accuracy.
